Our Terms & Conditions:

Please note our Terms and Conditions, acceptance of which are a prerequisite to advertising your room via our website.

1) Please would you confirm in writing that you own or are otherwise entitled to offer for rent the room which you wish to advertise?

2) Please note :Any  rental agreement arising from your advertisement on our website is a direct transaction between landlord and applicant/tenant and the University is not party to this and does not accept any responsibility or liability for the conduct of that tenancy or communications relating to it. The University provides an introductory service only and is not able to intercede in any dispute between a landlord and their tenant, nor can the University  guarantee the actions or behaviour of any individual. The University does reserve the right, at its discretion and without prior notice, to decline to advertise, or withdraw the advertisement, of any property or properties belonging to a landlord or landlady if it is deemed appropriate to do so, without further explanation.

3) When we receive a request to advertise a property for you, before we can proceed please send to us scanned copies of the up-to-date Electricity (EICR) if you have one and (where relevant) the Landlord Gas Safety Certificate. The EICR is not a legal requirement for resident landlords but it is best practice to have one for safety reasons.   Before we can advertise for you we require scanned copies of the requested certificates.

4) Please confirm that Right-To-Rent checks on any new tenant and new licence to occupy are carried out.

Checking your tenant's Right to Rent: How to do a check - GOV.UK (www.gov.uk)   5) We strongly recommend that you provide your tenant with a Licence Agreement, and, if you take a deposit, you provide written confirmation of the amount and your terms and conditions regarding the return of that deposit. Please confirm you have a suitable Agreement including those terms and conditions. 

 The documents we have requested will not be made visible to clients by The Accommodation Service. They are stored discreetly and are for administrative use only. Landlords must provide copies of relevant/rquired applicants and/or tenants themselves..

6) Please also confirm you have installed working smoke detectors and a carbon monoxide detector in your rental property.

Acceptance of properties for advertising on our website is always at the discretion of the Accommodation Service. We will not feature advertisements which include offensive or discriminatory language (in relation to any the legally protected groups).

Conditions of use

Whilst the Accommodation Service makes every effort to ensure that registered clients are members of the University they cannot be held responsible for the authenticity of every contact you may receive via this service.

The Accommodation Service acts as an introductory service only; we can accept no responsibility for any aspect of a subsequent tenancy agreement.

All Landlords must ensure that they keep The Accommodation Service informed of changes in tenancy. We must ensure that advertisements are up to date.

Acceptance of properties for advertising on our website is at the discretion of the Accommodation Service.

We expect any recommendations made by the Accommodation Service, including a request to become accredited under Cambridge City Council's Landlord Accreditation Scheme, will be acted upon if your property is to be advertised on our website.

If you plan to have an agency manage your property the Accommodation Service can permit this on the understanding that no administration fees (i.e. for credit checks, inventory checks etc.) are made to tenants.

The Accommodation Service will levy the following administration fees: 

  • £60 where a whole self-contained property is listed under a single tenancy
  • £30 per room for room-only tenancies, or lodger rooms

Landlords must comply with legislation regarding  Tenancy Deposit Protection Regulations (Tenancy Deposit Scheme), Portable Appliance testing, and the Energy Performance Certificate. Landlords must also ensure that they have a Gas Safety certificate, and must make sure that pipe work, appliances and flues provided for tenants are maintained in a safe condition. You must have a gas safety check every year. A Gas Safe registered engineer must carry out the safety check in your properties. You must provide your tenants with a copy of the Gas Safety record within 28 days of it being carried out, or before they move in. You are also obliged to show your tenants how they can turn off the gas supply in the event of a gas leak. Visit the HSE website for more information about landlords' responsibility for gas safety.

The Accommodation Service reserves the right to suspend an individual's account where deemed necessary. Accounts that are subject to complaint are automatically suspended while the complaint is investigated.

Accommodation Service members of staff have the right to work in a safe environment. All service users are expected to treat members of staff and other service users with respect, refraining from abusive or intimidating behaviour, unlawful discrimination or harassment.
